Guide: Overview of all menu options for users

Here you will find a complete list of all of the functions found beneath the menu buttons at the top of the CtrlPrint web portal (and how to access them). If you are looking for a similar overview for administrators please see the page here.

Clicking on a menu title will open an image of what the linked page looks like in a new window.

 

1. The "Team" menu

Description More info
company_name.jpg This will be the name of the company you have selected in the left column. Clicking here will show you a list of all the CtrlPrint users for that particular company as well as their contact information.  
project_name.jpg This will be the name of the project you have selected in the left column. Clicking here will show you a list of all of the users who are part of that project, as well as their contact information and their role (user/administrator etc.)  
allmembersinprojects.jpg Selecting this option will give you a list of only the users who have been added to projects within a company. The list provides their contact information as well as a list of which projects they are a part of.  
send_email_2.jpg This option takes you to a form where you can send an email to any other users who are a part of the company or projects to which you have been added. (You can also send an email to all users via this form.) More info
change_user_information.jpg Clicking here takes you to a form which contains all of your user details. (Telephone, email, language preference, etc.) This is where you can update this information – including your password. More info
view_messages.jpg This option will show you a list of messages that have added to the system either by CtrlPrint (important information about server updates) or by project administrators (information pertinent to your particular company/project).  

 

 

2. The "Project" menu

overview.jpg This option is identical to clicking on the project's name in the left column. Clicking here will give you an overview of all of the chapters in the project (their size, who created the latest version and when, version number etc.). You can also access PDFs and download copies of the InDesign document for the latest versions created. (Although you cannot download a chapter for editing.)  
timereport.jpg Here you can see how long you have worked on each particular chapter in the project you have selected in the left column. (This is calculated by the amount of time you have had each chapter checked out for editing.)  
version_com_report.jpg This page will show you the latest version comment (comments added when a chapter is uploaded after editing) for each chapter in the project you have selected in the the left column. (If there is one.)  
view_rel_in.jpg Clicking here will take you to a page where you can download assets, or view notes, that have been added (via the form mentioned below) for use with the project you have selected in the left column.  
add_rel_in.jpg Clicking here will take you to a page where you can upload assets, or notes, for use with the project you have selected in the left column. (Fonts, images, etc.)  
show_perm.jpg This option will show the permissions (Edit text, Edit layout, Read and comment, etc.) that each user in the project you have selected in the left column has. (These can be updated by an administrator.)  
show_col.jpg On this page you can see the colour that each user in the project you have selected in the left column has. (These colours are used in InCopy's galley and story views – and with the extra function TrackChanges.) You can change your own designated colour here if you choose.

 

 

 

 

3. The "Chapter" menu

editchapter.jpg This the only option that can be used for downloading a chapter for editing. Clicking here will take you to a page with a link for downloading the chapter which you have selected. More info
viewchapter.jpg This option is used for downloading either a PDF of the latest version of the chapter selected or for downloading a copy (that is read-only and cannot be edited). On the page you are directed to you will be given a choice of which you would like to download.  
showextrapdfs.jpg If you have added additional PDF presets to the system (such as a clean PDF when using TrackChanges) clicking on this option will give you the ability to download the latest version for the chapter you have selected in the left column. More info
showearlierversions.jpg If you need to access earlier versions of the chapter you have selected you can do so here. The page you are taken to will allow you to download any version of the chapter; PDFs – including additional presets and InDesign/InCopy files. (You cannot, however, download a chapter for editing here.) More info
changestatus.jpg A lesser used feature, but if you need to change a chapter's status (to Text exists or Template) you can do so by clicking here. More info
whohasread.jpg Here you can find out when the last time other users in your project have accessed (downloaded for editing or just for reading) the chapter you have chosen. You can also choose to send a reminder to users to do so.  
createanddownloadpdf.jpg This option will allow you to download the latest PDF created from the chapter you have chosen. You can also create a PDF that combines multiple chapters or the entire project. Additional PDF profiles will also be available here. More info
showcomments.jpg This will take you to the same page that you see when you select a chapter in the left column. This view includes a full listing of all comments as well as a form for adding them. More info

 

 

4. The "Help" menu

help.jpg This is simply a link to the CtrlPrint support website where you can find answers to many common problems, download links for installation and more.  
sendsupportmessage.jpg Clicking here will take you to a form where you can send a support message directly to the CtrlPrint support team.  
loginasadmin.jpg If you have an administrator's account and need to access the admin section for CtrlPrint you can reach the login page via this link. More info
logout.jpg Clicking here will log you out of CtrlPrint and return you to the login page.  More info
